Objectives
The development and implementation of the business management
system (BMS) is a strategic priority of the Faculty of Information
Technology.
The Implementation of the BMS is part of a coordinated
approach to develop, implement and maintain quality assurance
programs throughout the Faculty of Information Technology
as set out in the Faculty's Operational
Plan 2002.
The Business Management System Steering Committee has developed
a strategy outline with key objectives being:
- Review goals and mission; select information technology
support for the business management system, select relevant
frameworks or standard; communicate strategy to staff;
- Identify and develop workflows to describe key processes;
- Establish key performance indicators;
- Review processes and integrate documents related to
activities described in workflows;
- Introduce business review meetings to start using key
performance indicators and review quality system;
- Centralise and refine documentation;
- Fill identified gaps by comparing status of current
business management system to framework or standard, where
necessary develop documentation to describe activities
required to meet the needs of the external standard;
- Select a certifying body to meet organisational requirements;
- Create index of all organisational records;
- Conduct in-house reviews based on workflows and external
standard, refine documentation and processes according
to audit results;
- Undergo external certification audit.
Implementation Strategy
The BMS is currently being developed in the Faculty Office
as part of a phased implementation program. The implementation
of the BMS will proceed in accordance with the timeframe
outlined in the Faculty's Operational
Plan 2002.
Initial efforts to implement the BMS have been successful
with Admissions, Student Services, Executive Services, Quality
& Document Management Services, Research Services, Personnel
Administration, Purchasing and International Operations
achieving ISO 9001:2000 certification in November 2002.
Further implementation steps to be taken:
- Extend the BMS into the remaining departments and units
within the Faculty Office;
- Obtain ISO 9001:2000 certification for the remaining
departments and units within the Faculty Office;
- Broaden the implementation of the BMS within the Faculty's
administrative units;
- Implement quality assurance programs within the faculty.
The development and implementation of the BMS will require
commitment from all Faculty Office staff. The business management
system will require ongoing maintenance and review and will
drive continuous improvement in business performance.
