Procedure Development

This section provides the necessary guidelines and essential elements for the creation of system procedures. Please ensure that you regularly check this section for updates.

Document title

It is essential that the title of the document is specific and clearly defines the matter that the procedure aims to describe.

Purpose

The purpose of a procedure describes the fundamental reason for the procedure's existence. The purpose provides the directive component of a procedure and sets out the objectives to be achieved by the activity set out in the procedure. The purpose may briefly describe the area of the procedure's application.

Definitions

It is vital that the reader is provided with the opportunity to clearly understand any unique terms or language that may be used in the procedure. A link to the BMS Manual - Definitions Page is essential. This is located at:

http://www.infotech.monash.edu.au/bms/man_definitions.html

Actions

This is the action component of the procedure setting out 'what is to be done'. This section accurately describes the specific activity to be performed and what is expected of those carrying out that activity. The activity described must follow the logical sequence of the activity events. This component of the procedure will be brief and concise. It must be easy to read and written at a level and style to suit the reader and user.

Creating Hyperlinks

1. Select the text or drawing object you want to display as the hyperlink, and then click Insert Hyperlink .
2. Do one of the following:
To link to an existing file or Web page, click Existing File or Web Page under Link to.
To link to a file that you haven't created yet, click Create New Document under Link to.
3. Do one of the following:
If you clicked Existing File or Web Page in step 2, locate and select the file you want to link to.
If you clicked Create New Document in step 2, type a name for the new file. You can also specify the path to the new file and choose whether you want to open the new file for editing now or later.

Referenced documents (locations)

A procedure that is self standing will often be most effective. However, to ensure the procedure is brief and free of repetitive information, it is vital to provide references to information pertinent to the procedure. Within reasonable limits, the procedure should be complete within itself.

Records

Where records are produced as a result of carrying out the procedure, it is vital that this element is incorporated as it is designed to ensure that objective evidence is made available of an event or activity. It demonstrates that an event or activity has been carried out and what the outcome of the activity was. This evidence is usually set out in a prescribed document.

Other document information

To assist in document identification and control, all relevant information is to be incorporated. Such information includes:

Element
Suggested Placement
Monash Logo Header
"Faculty of Information Technology" Header
Document title Header
Version number Footer
Provision for the name of the staff member who shall authorise the document Footer
Date of issue Footer
Page number Footer

In addition, it is necessary that the following information appear at the base of each page:

Note: The transfer and/or printing of this document will render it an uncontrolled copy.

Refer to the Document Control Procedure for further guidelines.

It is important to note that there is no 'given template' for BMS procedures. However, it is recommended that the following template be used for the development of BMS procedures.
