Unsatisfactory Academic Progress

Early Warning Letters

Early warning letters are sent to all students who have failed 50 % or more units in a standard teaching semester . 

The purpose of the letter is to:

  • warn you that you may be at risk of breaching the Faculty's academic progress rules at the end of the year;
  • inform you about the free support services available to you from the Faculty and the University;
  • notify you of the academic progress rules of the Faculty.

Mid Year Intervention

The FIT mid-year intervention strategy will identify course-work students who commenced study in the previous year at mid-year (ie. July ) and who have failed 50% or more of their enrolled units during their first two semesters of study. Following the publication of semester 1 results, the Faculty will hold a Pre-Academic Review Committee (PARC) meeting and take appropriate action for students identified as failing mid year progress rules. The Committee will review each student’s case and make a decision regarding the student’s semester 2 enrolment. The Committee may allow students to:

  • Continue with their with a recommendation
  • Continue with their studies, with an academic condition placed on their semester 2 enrolment.

These recommendations/academic conditions may include: reduced study load; consultation with the Course Director; and/or  may refer students to university academic and support services.

All students reviewed by PARC will be considered to be under academic probation. If the Faculty’s end of year unsatisfactory progress rules are breached, students may be required to attend an Academic Progress Committee interview at the end of the year.

Seeking assistance as a preventative measure

It is essential that you assess the reasons for failing progress rules to date and take any necessary steps to improve your academic performance. If you have not already sought assistance, the faculty strongly recommends that you take relevant preventative measures as soon as possible, for example:

End of Year Results

In the Faculty of Information Technology, your academic progress for the academic year will be deemed unsatisfactory for any of the following reasons:

  • in the period commencing December of the previous year and including at least two semesters of candidature, passed less than 50% of enrolment; or
  • failed the same compulsory unit twice; or
  • failed to comply with any terms or conditions imposed by the faculty board under section 5 of the statute or by an academic progress committee of the faculty.

If you do not meet the Faculty's progress rules, after the publication of results at the end of the year, you will be asked by the Faculty's Academic Progress Committee to respond to a Notice of Referral as to why you should not be excluded from your course. This means that you may be asked to explain in writing and/or in person why your results were unsatisfactory. If you are sent such a letter, you will be expected to reply by the due date indicated and to make yourself available to attend a hearing of the Faculty's Academic Progress Committee. An email will also be sent to your student Monash email account alerting you to the importance of the forthcoming letter.

Decisions the Committee may make:

  • permit you to continue your studies with a caution (provided you have met the administrative requirements for re-enrolment for the following year)
  • permit you to continue your studies on a condition (provided you have met the administrative requirements for re-enrolment for the following year)
  • exclude you from any award of the faculty

If you think you may have failed the faculty's progress rules and have not received any documentation by mail, please check your student email account to see if you have been sent an email from the faculty asking you to respond to a 'Notice of Referral'. If this is the case, you can also use the following documentation to respond.

Postal Address

If you expect to be away from your normal postal address during December, January or February, you must provide the University with a postal address where you can be contacted during this period. It is your responsibility to ensure the University has your current postal address at all times. Failure to receive university notices will not be accepted as a ground for appeal against exclusion.

Rules & Regulations on Academic Progress

Under the exclusion and exclusion appeals process,  students who are excluded by their faculty will have limited grounds on which to appeal the faculty's decision. Refer to the following websites for  information on the Faculty and University Rules and Regulations:

International Students

International students on a student visa are advised that condition 8202 of their student visa requires that they maintain satisfactory academic progress. Failure to maintain satisfactory academic progress may place students in breach of this visa condition.
